Staff meetings are a necessary practice for most businesses. But as important as they are, they can also be time-consuming, and with so many people in the same room, it can be easy to get off track and end up wasting valuable time. After all, the workday is only so long, and your employees have important work they have to get to! The next time you run a staff meeting at your office, take these ideas into consideration:
- Create an Agenda
Allow employees to approach you with items they’d like to include or bring up at the meeting, and approve them before writing them into the agenda. Once the agenda is finalized, send it out so that all your employees have a copy. This is a much more efficient way of running a meeting than making it an open forum. Planning ahead will allow you and your team to stay on track and ensure the meeting wraps up at a reasonable time.
- Run the Meeting
Ideally, you as the business owner should be running the meetings. After all, you know the most about all aspects of the business, and you should be guiding the exchange of ideas and information. If you are unavailable or out of the office, have your next most trusted employee – perhaps your vice president or chief financial officer – run it instead. These types of meetings should always be led by an authority figure.
- Stay Focused
The purpose of the staff meeting is to exchange information in a setting where all the employees are present. Things that can be discussed in private probably should be, both to save time and also to be sensitive about personal matters. If something personal or something better discussed one-on-one comes up in the conversations at the staff meeting, ask the employee to meet in your office after the meeting instead.
- Offer Praise and Critiques
Staff meetings should be an open, straightforward environment. When reviewing the events of the past week or month, offer praise where it is due, and offer critiques where they are due. Don’t waste time beating around the bush or sugar-coating your words, but be fair and just when offering either praise or criticism. And remember, if the critique is better said in private, be sure to make that judgment.
